And you can see that the program has identified the pattern and correctly copied the data from rows three through eight, into column C. Then I will go to the Data Tab on the ribbon and I will click the Flash Fill button. So I will select cell C2, which has the data that I want Excel to use as the base of the pattern. The rest of the data follows the same pattern, so I can use a facility in Excel called flash fill. So in cell C2, I would type Portland, comma, Oregon, and enter. On this worksheet I have a list of cities and states and in the U.S., you often write the name of the city, followed by a comma, and then the name of the state. One last way to enter data is flash fill. However, in this case, I don't want to, so I'll type July, and I could keep going from here. If I wanted to accept one of those values, I could click it and it would go in. The next month is July, so in cell A9 I'll type a J, and you'll see that I have two values offered, January and June. Instead, I'll type the rest of the month name June, and press enter. In this case, I want to keep typing, so I won't press enter. If I were to start typing in the name of the next month, which is June, so I'll type a J then Excel uses auto-fill to suggest the value of January, which I've already entered.

The next month in the series would be June. And I'll drag down one more, to get to May. So I'll drag down and you see that instead of having incremental months, I go January, January, January, if I click the auto fill options button and click fill series, then that changes to the series of months. That means you're getting the alternative behavior. So I'll hold down option, and you'll notice that my mouse pointer has changed instead of a crosshair, it has a crosshair and then a smaller crosshair above it. And I will hold down the option button and drag the fill handle so that you can see how the behavior changes. I'll press command Z to undo that change. So if I click cell A3, I can drag the fill handle down and you'll see that it goes to February, March, April, May, and so on. For example, in Excel there's a custom list that is the months of the year. Other ways to enter data, are to take advantage of lists. If I want to stop making this change and return the cell to its original state, I can press the escape key and the cell is still selected, but it's no longer being edited and any changes that I made have been removed. So for example, let's say that I double click cell B1, and I change the value to years, but I don't press return. If you're entering data into a cell and you decide that you don't want to continue making your change, then you can press the escape key to get out of it. So we had 21, 23 and 25 and I'll press command Z again, and another time to go back to my data in cell B2. If I wanted to skip years, then in cell C2, I could type CY underscore 19, and then select cells, B2 and C2 and drag the fill handle. So remember we went from CY 17 to 18 to 19. You can use cells to define a sequence so that you don't always go up by one. I'll press escape to close out the options button and I'll press command Z to undo my change. Fill formatting only is very useful because if you already have values and a sequence of cells, but have only applied formatting to one of them, you can copy the formatting over and you won't change the values, you'll just change their appearance. I could copy the cells, fill the series, fill with formatting only, or fill without formatting. So if I click that, I get a list of things that I could do.
I also see an options button and that is the auto-fill options. Now, if I click and drag to the right, you'll see that I get calendar year 18, 19, 20 and 21. So if I drag my mouse pointer over it, you'll see that it's changed to a black crosshair. There is a small green box, which is called the fill handle. If I want to create a numerical series starting with calendar year 17, then I can click cell B2 and move my mouse pointer over the bottom right corner of the selected cell. So there I have my header for a calendar year 17, and I'm taking advantage of formatting that I already had in place. I could start by clicking cell B2, which I actually already have selected and then type CY, followed by an underscore, and then the number 17, and press return. So starting with calendar year 2017 and moving on to calendar year 2021. Let's say that I wanted to set up data for a number of years. My sample workbook contains two worksheets and we're currently on sheet one. In this movie, I will show you several techniques for entering data into your workbooks.
